AI Policy
Last updated: August 31, 2026
This AI Policy explains how Maths Copilot uses AI features, what information they process, their limits, and how learners, parents, schools and staff can raise concerns. It should be read with the Privacy Policy and Terms of Use. This policy does not replace a school's safeguarding policy, data-protection arrangements or emergency procedures.
📌 Scope of AI Features
Depending on the account and feature being used, Maths Copilot may provide:
- Chat Interaction: Conversational assistant to support learning and answer maths questions.
- Image Generation: AI-generated visuals or diagrams based on user input.
- Video Transcript Generation: Automated transcription of videos uploaded by users.
- Audio Generation: Conversion of text or transcripts into synthetic speech audio.
The learner-facing tutor is a task-bounded maths assistant. It is not a person, teacher, counsellor, emergency service or replacement for family, school or professional support. AI outputs are generated by a model and may be inaccurate, incomplete or unsuitable; learners should check important work with a qualified teacher.
Intended use and limits
The intended learner use is maths learning, including asking for a hint, an explanation of a maths question, or feedback on mathematical working. The tutor should not be used for personal, health, family, emotional or other sensitive discussions. It must not encourage secrecy, dependence, persistent engagement or the belief that it has feelings, consciousness or personal agency.
âś… Data We Collect and Process
Inputs You Provide to the AI System, such as:
- Questions, prompts and conversation history in the chat interface.
- The current maths question, answer context, learner answer and relevant curriculum context used to tailor the tutoring response.
- Images or canvas captures submitted for vision analysis, which may include a learner's handwritten working.
- Prompts used for image generation.
- Uploaded video/audio links for transcript creation.
- Text content or script submitted for audio synthesis.
Usage and System Data, including:
- Time, date, and usage logs of AI features.
- Performance metrics (e.g., response time, error rates).
- Non-personal system logs (e.g., IP, browser, device data; for diagnostics and improvements).
We do not ask learners to provide sensitive personal data for ordinary maths learning. If a learner includes personal, health, family or emotional information in an AI request, it may be processed to prevent harm, respond to a safeguarding concern, secure the service or comply with the law. Learners should not submit such information.
🛠️ How AI‑Generated Content Is Used
- Chat Replies: Support learning; may include reasoning or example solutions.
- Generated Images: Used to illustrate concepts; shared within your session.
- Video Transcripts: Provide text output for accessibility, summarisation, or translation.
- Audio Output: Synthesised speech made from text or transcripts for accessibility and presentation.
All AI-generated outputs are educational suggestions, not authoritative answers or professional advice. Learners should attempt the problem themselves, use hints and partial steps first, and ask a teacher to check work where accuracy matters.
đź”’ Storage, Security & Retention
- User inputs and generated outputs: Prompts and responses are written to the AI communication log when the learner-facing tutor is used. A specific automated deletion period for this log is not currently implemented.
- Images and canvas captures: Images submitted for analysis are processed to provide the requested feature. They are not described as deleted at session end unless the relevant storage and processor deletion has been verified.
- Account deletion: Student account and assessment records can be deleted through the available account-deletion process, but that process does not currently remove every related AI communication record automatically.
- Security: The service uses organisational and technical measures including HTTPS for supported connections, authenticated sessions, access controls, request validation, abuse detection and outbound AI request timeouts. These measures reduce risk but do not guarantee absolute security.
AI data, learner records and related service records are stored within the EEA. Public asset, analytics and embedded-media providers may process limited technical connection data under their own privacy notices. See the Privacy Policy for the full data categories, processors, retention position and rights process.
🧒 Children’s Data Considerations
- For independent accounts, Mr W's Lab Ltd decides how the account and AI data are processed and acts as the controller for that processing.
- For school-linked accounts, the school or education provider normally decides why and how learner data is used. Mr W's Lab Ltd may process it on the school's instructions under the applicable agreement.
- A learner may provide an email address for account recovery or other account features. Learners should not provide unnecessary personal, health, family or emotional information to the AI tutor.
📣 Transparency & Disclosure
- AI-generated content is identified as AI-generated and may be inaccurate.
- The tutor is described as a maths learning aid and not as a person or replacement for a teacher, trusted adult or professional.
- Learners are told not to share personal or emotional information and are directed to human support when a concern is raised.
Safety, safeguarding and reporting
The tutor is intended to remain within the current maths task. Safety checks may block crisis, harmful, sensitive or abuse-related requests, and suspected misuse may be logged. The current service gives the learner safety guidance and records an intervention; it does not automatically notify a school's Designated Safeguarding Lead. School staff must follow their own safeguarding policy and report concerns to the DSL without delay.
If you or someone else is in immediate danger, call 999. Otherwise tell a trusted adult, teacher, parent or carer and ask for help from the school's DSL. Childline can be contacted free on 0800 1111. Report unsafe, inappropriate or inaccurate AI output through the Contact page and tell a teacher.
Learning, wellbeing and human oversight
- The tutor should provide hints and progressive steps before a complete solution and should not replace a learner's own attempt.
- It must not invite personal or emotionally sensitive disclosures, offer counselling, or encourage secrecy or emotional dependence.
- Teachers and schools remain responsible for educational judgement, safeguarding decisions and checking important AI output.
- Safety performance, model changes and learner impact should be reviewed before deployment and throughout the product lifecycle.
⚖️ Limitations & Your Responsibilities
- Accuracy: AI outputs are suggestions, not guaranteed correct answers.
- Appropriate Use: Use the tutor for maths learning only. Do not submit sensitive or confidential data or attempt to bypass its safety controls.
- Abuse or violations may result in restricted access to AI services. This must not prevent a learner from accessing appropriate human safeguarding support.
🛑 Liability
- No liability accepted for high-stakes use of AI outputs.
- We may modify or suspend AI services at any time with notice.
đź“„ Your Rights & Controls
- Request access, correction, restriction, objection, portability or deletion of AI data where the relevant right applies.
- Make a request through the Contact page, stating whether the account is independent or school-linked. Identity verification may be required.
- For a school-linked account, learners and parents/carers may also contact the relevant school or teacher. For an independent account, contact Mr W's Lab Ltd.
- Privacy complaints may also be made to the Information Commissioner's Office.
